The problem with guest PDFs is not the PDF: it stays still

A welcome PDF can work as a backup, but on its own it can't follow your guest before, during and after the stay.

The welcome PDF is the most common tool in independent hospitality. You prepare it once, attach it to every booking, and it does the job — at least on paper. There's nothing wrong with the PDF itself. The issue is that it stays still. Your guest doesn't: they move from booking, to arrival, to the morning after, to check-out. Each moment needs something different.

A PDF is a snapshot, a stay is a film

When a guest opens the PDF they see everything at once: how to get there, the Wi-Fi, restaurant tips, the check-out time. That's fine as a general reference. The problem is that the same page is supposed to help in very different moments — someone looking for parking with one hand on the wheel, someone already inside trying to figure out the dishwasher, someone deciding where to eat dinner. A single document can't be the right answer in all of them.

Where the PDF actually helps

  • As a safety backup for guests who like to print the essentials before they travel.
  • For guests who prefer to read offline, especially when they're on the move.
  • For information that genuinely doesn't change: address, house rules, emergency contacts.

What a PDF alone can't cover

Things that change: a different morning tip, the time of a local market, a seasonal activity. Things you'd like to measure: what guests actually read and what they ignore. Things you'd like to sell: a late check-out, a delivered breakfast, a transfer. All of this lives better in a web page you can update in seconds.

How to use them together

The simplest combination: an online guide as the main reference, kept up to date, and a PDF as a courtesy attachment for guests who ask for one. The PDF isn't outdated. The idea that it's enough on its own is.
